Registration and Course Cancellation and Refund Policy for ADA 2017

Requests for ADA 2017 refunds or cancellations must have been postmarked or sent no later than Friday, September 22 for full refund of registration and courses, less a $10 processing fee for each registration and course cancellation transaction. Exceptions will not apply.

No refunds will be accepted or granted after the start of ADA 2017 on Wednesday, October 18—including absences due to illness, late arrivals, weather, parking difficulties or other reasons.

For cancellation requests postmarked between September 22 and Oct. 18, 2017, the following policies apply:

  • Requests for registration cancellation will be issued a non-transferable registration credit for ADA 2018 in Hawaii.
  • Refund requests for Fee lectures will be granted a 50% refund.
  • Refund requests for hands-on workshops and cadaver courses will not be granted.

A $10 processing fee will be deducted from each registration and course refund transaction. Refunds will be issued by December 2017.

Onsite Registration Rules and Regulations

  • Photo identification is required to register onsite.
  • No dentist (practicing or non-practicing) may be registered as a guest or in any category other than member dentist or nonmember dentist.
  • Attendees who did not register in advance may do so at the on-site registration desks by completing a registration form, providing the appropriate credentials and paying the required registration fee.

The following regulations govern on-site U.S. attendee registration at the ADA annual meeting:

  • ADA members must show a current-year American Dental Association membership card either as an active, life, retired, honorary, associate or provisional member.
  • U.S. Dentists and Certified Graduate Students who are non-members and are attending the annual meeting for the first time must show proper identification and are eligible for a special registration fee. Nonmembers who did not attend annual meeting during the years 2005-2015 may register at the special reduced one-time fee.
  • ASDA members must show a current membership card of the American Student Dental Association. U.S. students who are not members of ASDA must show proper identification.
  • Members of the Alliance of the American Dental Association may register as a primary registrant upon presentation of a current AADA membership card.
  • U.S. Dental Assistants must show a current membership card of the American Dental Assistants Association or evidence of employment by a member of the ADA. A photocopy or imprint of the employer's ADA membership card is recommended as proof of employment by an ADA member.
  • Dental Hygienists must show a current membership card of the American Dental Hygienists' Association as evidence of employment by a member of the ADA. A photocopy or imprint of the employers ADA membership card is recommended as proof of employment by an ADA member.
  • U.S. Dental Business Assistants (office manager, front office staff) must present evidence of employment by an ADA member. A photocopy or imprint of a dentist's ADA membership card is recommended as proof of employment by an ADA member.
  • U.S. Laboratory Technicians must show a current membership card of the National Association of Dental Laboratories or Dental Laboratory Conference or evidence of service to or employment by an ADA member. A photocopy or imprint of a dentist's ADA membership card is recommended as proof of employment by or service to an ADA member.
  • U.S. Dental Dealers must show a current membership card of the American Dental Trade Association, Dental Manufacturers of America Inc. or Dental Dealers of America. Dental dealers are allowed entrance to the exhibition only.
  • U.S. Dental Assistant Students must show evidence of attendance at an accredited school in their field.
  • U.S. attendees that do not qualify for any of the above categories must register as a U.S. Guest.
  • All children under 18 years of age may register without a fee if registered with a paying attendee.

The following regulations govern onsite international registration at the ADA annual meeting:

  • All international registrants (those not from U.S., Puerto Rico, Guam or the U.S. Virgin Islands) register as the proper international registration code.
  • International Undergraduate Dental Students must provide a copy of their student identification card or a letter from their school as documentation of their undergraduate status when registering.
  • International Dental Dealers must present a business card.
  • Only the parents, spouse or children over 18 years of age of an international dentist who is registering will be allowed to register as an International Friends and Family.
  • All children under 18 years of age at the time of the annual meeting may register without a fee when registering with a paying attendee.
  • No dentist (practicing or non-practicing) may be registered as a guest or in any category other than member dentist or nonmember dentist.
