Library transition to add, expand benefits

ADA members' digital access to electronic journals and research databases will continue to expand, and members may soon have access to the University of Illinois at Chicago Medical Center Library's print medical literature and journal collection.

The increased access and additional benefits are part of the Library Transition Plan, which was submitted to the ADA House of Delegates during the 2013 Annual Session in New Orleans in response to Resolution 159H-2012.

Additionally, the House of Delegates voted to approve Res. 101H-2013, which recommends the addition of a “special librarian” who would serve as a public member and as a ninth member of the ADA Library & Archives Advisory Board.

“The transition plan, once implemented, will take the ADA Library & Archives to a whole new level,” said Dr. Joseph Hagenbruch, ADA 8th District Trustee and chair of the ADA Library Task Force.

“Indeed, with the incorporation of never before utilized electronic capabilities, the memorandum of understanding with the UIC Medical Center Library and various other advantages, the potential will now exist for every ADA member-dentists to access, utilize and benefit from a whole host of opportunities,” he said.

Benefits outlined in the transition plan include:

  • Expansion of member access to full-text articles online (284 journals as of November).
  • Digitation of the ADA archives, allowing for direct member access of materials through the ADA website.
  • Redesign and simplified navigation to the Library & Archives webpage, which launched in August (Library & Archives).
  • Access to ADA library print book collection, supplemented and enhanced by the UIC Medical Center Library print book collection.
  • Access to the print medical literature and journal collection at the UIC Medical Center Library.
  • Put in place operation policies and procedures to ensure library resources are evaluated and upgraded on a regular basis.
  • Library staff development and cross-training to ensure continued ADA Library staff is able to provide services effectively and efficiently.
  • The creation of a nine-member ADA Library and Archives Advisory Board.

The Advisory Board is tasked with creating and developing a strategic plan for the ADA library and ensures the Library remains accessible to members regardless of where they live and work. The Advisory Board will also ensure the ADA Library remains relevant to the ADA strategic plan; provide input during the annual ADA budgeting process on library funding, priorities and needs; adopt policies and rules regarding Library governance, assets and use; plan and evaluate the Library's service program; and develop marketing plans for promotion of the Library to members.

The Advisory Board will consist of two members from the ADA Board of Trustees; two members from the Council on Dental Education and Licensure; two members from the Council on Scientific Affairs; and two ADA member-dentists-at-large. The potential ninth member, possibly appointed after the Advisory Board is created, could include—as recommended by Res. 101H-2013—the expertise of a “special librarian,” which is someone who works in a defined field, for instance, a librarian at a dental school library or medical school library.

The Advisory Board, which will report on an annual basis to the ADA Board of Trustees, will come into existence after the ADA Library Task Force presents its final report during the Dec. 15-17 ADA Board of Trustees meeting.

The Task Force was created and charged with ensuring that the resources for evidence-based dentistry are maintained as a member benefit, while updating it for the 21st century. The creation stemmed from the Library changes approved by the ADA House of Delegates in October 2012.

“I truly believe that in very short order, we will have the most advanced, proficient, consummate, member-accessible dental library and archives on the face of the earth,” Dr. Hagenbruch said.
